System Surveys
In order to ensure that the security systems employed in your housing blocks continue to provide your tenants with the security they
require, it is important to know exactly what is installed, its age, its current state, how it is currently programmed and if any
simple upgrades are available.
KMS can survey your blocks providing detailed reports covering -
• Equipment type - manufacturer - model - type - capacity - age
• Total number of key fobs programmed in the system - number of editor keys - pattern/coding for installed fobs (if any)
- spare capacity.
• Type of key fob reader employed
• Any integration used between systems
• Recommendations for the updating of the system to best meet the social landlords requirements including-
- Improved integration & data extraction/reporting.
Following the surveys, a standard separate report is provided to the client for each block giving the above information and
recommendations.

Key Fob Management
KMS can offer a range of services by either connecting remote housing blocks back to dedicated regional monitoring centres, or by
introducing a manual updating process, incorporating regular visits to each system, that can include -
• The management of tenant fobs by adding and deleting tenant fobs when instructed by an authorised representative of the
social landlord (see note 1).
• Produce reports on exceptional token use on a regular basis, or as and when requested by an authorised representative of
the social landlord.
• Produce reports on contractor fob usage on a regular basis, or as and when requested by an authorised representative of
the social landlord.
• Produce ‘ temporary access ‘ fobs for contractors, to allow them to gain entry into selected and communal
doors or blocks as and when requested by an authorised representative of the social landlord.
• Advise the social landlord or their nominated representative before 10:00 hours of any recorded system incidents on the
system over the previous 12/24 hr period, i.e.: door forced open/left open, communication failure etc. (available with remotely
managed systems only)
Following a survey of a block, and the production of a surveyor's report, KMS can provide a service to organise the tenant access
control system ensuring that the social landlord has an accurate record of all fobs programmed into each block access control system.
This then can lead to -
• A key fob system that will enable tenant key fobs to be associated with the flat, thus simplifying management and
maintenance.
• Employing a ‘ housing stock ' wide editor key system, that will both simplify and ease the management of editor
keys, making them easily identifiable thus improving system administration again reducing administrational costs.
• Common access can also be incorporated for regular contractors and visitors, again simplifying the process of letting
contractors, staff and authorised regular visitor to gain access into the blocks. (This can include emergency service if
required).
• Deleting all unused / lost / unknown key fobs, issuing out new easily identifiable fobs to all tenants/flats.

KMS can also carry out on going management of these systems ensuring that the tenant access systems employed are routinely updated and
monitored. The way this type of management can be supplied will depend on the type of system employed, and whether it is or can be
remotely managed.
In addition to the management of the key fobs employed KMS can often produce a number of useful reports dependant on the type of tenant access system employed. These reports can include -
• Daily/Weekly activity reports
• Communal door forced/left open
• Exceptional tenant token use
• Tenant tokens added/deleted from the system

Note 1
Instructions for the adding and deleting of key fobs has to securely submitted to KMS in an agreed format using either authorised
signatures and/or a password system.
All data used and stored by KMS is covered by the data protection act , and is backed up securely, daily. When requested all computer
records can be sent to an authorised employee of the social landlord and together with any paper records will be returned to a
authorised employee of the social landlord within 10 working days of the termination of the contract.
